Privacy
Your privacy.
This is how we look after the information you give us, under the New Zealand Privacy Act 2020. Plain English, no fine print.
Who we are
Captain's Run is private hockey coaching in New Zealand, run by Nic Woods. When this page says "we" or "us", that's who we mean. You can reach us at team@captainsrun.nz.
What we collect when you apply
- Your name, email, phone number and date of birth (the player's, if a parent or guardian is applying).
- Your region, club or school, level and position.
- What you want from coaching, your normal training week, any health trackers you use, and how you heard about us.
- If you're under 18: your parent or guardian's name, email and phone, and their consent.
We don't use tracking cookies, advertising pixels or third-party analytics on this website or in the app.
Why we collect it
To decide whether we're a good fit, to contact you about a free 15-minute chat, and, if you start coaching with us, to set up your plan. We use date of birth to check you're old enough to apply, to know when a parent or guardian needs to be involved, and to give you the right version of your plan. We only ask for what we use.
When you book a session
We collect your name, email and phone, the athlete's age and level, and what you want to work on. If you create an account, it also holds your past and upcoming sessions, receipts and your coach's feedback. Bookings are stored with Supabase in Sydney, Australia.
In the coaching app
If you coach with us, the app collects your email and name to sign you in, your date of birth (we ask the first time you sign in, and it's what you tell us: we don't check it against ID), your daily check-ins (like sleep, soreness, stress and mood), weigh-ins for athletes aged 16 and over, training logs, the weights you lift, sessions you book, and your messages with your coach. Exercise videos play from YouTube, only when you tap to watch one, and YouTube's privacy policy applies to them. Your coach sees all of that. You can see everything your coach sees.
Your Growth Monitor journal stays on your device. It isn't sent to us and coaches can't read it, but that also means we can't recover it if you lose your phone or clear your browser. Your coach only sees what you add to your Growth goals.
Where it's kept
Applications are sent through our website host, Netlify, and stored on their servers, which are outside New Zealand. A copy is emailed to us. App data is stored with Supabase in Sydney, Australia. We don't sell your information, and we only share it where our safeguarding policy or the law requires.
Who sees it
Only our coaches. Right now that's Nic.
If you coach for us
A coach's name, photo, bio, headline, highlights, and what and where they coach are public on our Coaches page once that coach chooses to show them, and come down when they untick it. Their phone number and email are never shown there.
How long we keep it
Applications from people who don't go on to coach with us are deleted after 12 months. Chats in the app are kept for one year, then deleted, unless a dispute or concern is still open. The rest of your app data is kept while you're with us, and you can ask us to delete it when you leave.
Under 18
We coach players aged 13 and over. Under 18, a parent or guardian needs to give their consent, and for players under 16 they make the application. We'll involve them where it's appropriate.
Once you've signed up, everyone talks to their coach through our app. Chats are stored for one year so we can look back at them if there's a dispute or a concern, then deleted. They're kept longer only while a dispute or concern is open. Nic can read them. If we're worried about someone's safety, we may share what we know with the people who can help, including a parent or guardian, or the authorities. Our safeguarding policy explains how.
Seeing, correcting or deleting your information
You can ask to see the information we hold about you, ask us to correct it, or ask us to delete it. Email team@captainsrun.nz and we'll reply within 20 working days.
If you're not happy
Talk to us first and we'll try to put it right. You can also complain to the Office of the Privacy Commissioner at privacy.org.nz.
